Direct Response Coordinator

ADF International is looking for a highly organized Direct Response Coordinator to join us full-time in our Vienna office. As Direct Response Coordinator, you are a vital part of the International team. You support the Direct Response Manager in executing integrated print and digital fundraising campaigns that drive revenue growth across the German-speaking markets. You will also be responsible for campaign execution, coordination with vendors, and ensuring data integrity in our CRM system. 

This position requires strong project management skills, a structured mindset, and the ability to work cross-functionally with other teams, including Operations, Legal, and Communications.

 

Your Essential Responsibilities:

Campaign Coordination & Execution

  • Plan and execute direct response fundraising campaigns (print & digital) from start to finish.
  • Coordinate schedules, content development, reviews, approvals, production, and delivery with internal stakeholders and external vendors.
  • Ensure all projects stay on schedule and meet deadlines, brand standards, and quality benchmarks.
  • Support your team leader in managing vendor relationships and ensuring strategic alignment and executional excellence.

Data Management & CRM

  • Ensure that donor and campaign data is accurately captured, updated, and maintained in the CRM (Salesforce).
  • Set up campaigns correctly in the system, track performance, and ensure proper archiving.
  • Liaise with operations, accounting, and gift processing teams to ensure data accuracy and timely invoice management.

Content & Quality Assurance

  • Assist with reviewing copy and creative to ensure tone, voice, and message alignment with ADF International’s brand platform.
  • Act as a liaison between fundraising, communications, and legal to ensure compliance and consistency across all communications.

Analysis & Innovation

  • Track campaign performance, compile KPIs, and contribute to post-campaign reviews and learning.
  • Participate in brainstorming and creative development sessions; contribute to ideation and continuous improvement of donor communications.

Skills You Need to Succeed:

Required

  • Proficiency in German and English (written and spoken).
  • Strong project and process management skills with attention to detail.
  • Experience with Microsoft Office Suite (especially Excel and Outlook).
  • Experience with CRM systems (Salesforce preferred).
  • Excellent organizational and communication skills.
  • Proven ability to work independently and in a cross-functional, international team.

Preferred

  • Basic knowledge of Adobe InDesign.
  • Familiarity with digital fundraising tools (e.g., MailChimp or similar platforms).
  • Experience in fundraising, marketing, or nonprofit development in a German-speaking context.

Ability to:

  • Work, motivate, and initiate within a team and independently.
  • Lead concurrent projects of varying size and complexity under deadline.
  • Work within a multi-lingual, international setting.
  • Occasionally travel within Europe.

 

Education and/or Experience:

  • Bachelor’s or Master’s degree in business, marketing, advertising, or communications preferred.
  • 2 years of relevant work experience preferred.

 

Work permit for Austria or EU citizenship required.
